Robert Half Administrative Assistant in Parsippany, New Jersey

Description We are providing a contract to hire employment opportunity for an Administrative Assistant to join our team in Parsippany, New Jersey. In this role, you will be providing comprehensive administrative support to the office personnel, managing calendars, scheduling client check-ins, and coordinating meetings and lunches. You will also be responsible for handling inbound and outbound calls, and ensuring the smooth operation of office activities.

Responsibilities:

• Provide general administrative support to all office personnel

• Manage calendars for the President and Principal

• Schedule client check-ins and coordinate coverage when away from the desk

• Monitor office supplies and place orders when necessary

• Maintain copy machine and ensure its proper functioning

• Assist with front desk duties, including buzzing people in

• Participate in decorating the office for holidays

• Work on special projects as needed

• Proctor and monitor virtual client workshops

• Track expenses and office expenses

• Coordinate meetings and lunches

• Handle inbound and outbound calls, and schedule appointments using Microsoft Outlook

• Conduct data entry tasks and email correspondence using Microsoft Word, Excel, and PowerPoint. Requirements • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook

• Ability to handle inbound and outbound calls professionally

• Strong customer service skills and ability to respond to queries promptly

• Experience in data entry and maintaining accuracy in high-volume environments

• Excellent email correspondence skills with attention to detail

• Ability to schedule appointments and manage calendars effectively

• Excellent organizational skills and ability to multitask

• Strong verbal and written communication skills

• Ability to work independently and as part of a team

• Problem-solving skills and ability to handle difficult situations calmly

• Strong time management skills and ability to prioritize tasks effectively

• High level of professionalism and ability to maintain confidentiality.
