Johns Hopkins University Sr. Administrative Coordinator in Baltimore, Maryland

The Center for Global Digital Health Innovation (CGDHI) is a multidisciplinary center within the Department of International Health at the Johns Hopkins Bloomberg School of Public Health. The center aims to develop responsive digital health innovations and provide rigorous, evidence-based support for scaling digital technologies and advancing health equity to improve health – with a focus on resource limited settings.

CGDHI is looking for a Sr. Administrative Coordinator who will provide high-level administrative and financial support to Center faculty, working closely with the Director of the Center. This position will manage day-to-day administrative support for the Center, event coordination and management for domestic and international meetings/conferences/workshops, developing budgets, scheduling appointments and meetings, coordinating travel and lodging, processing reimbursements and invoices, and supporting research-related activities as needed.

This is a full-time position. Compensation range is based on level of experience. This position is based in the Baltimore, MD area to allow for in-person meetings and events at the School of Public Health. The team primarily works remotely with the expectation of meeting once a week in person. The Sr. Administrative Coordinator will report to the Center Director.

Specific Duties and Responsibilities

Administrative Management

  • Ensure smooth management of day-to-day administrative operations for the Center.

  • Independently develop and manage complex and key administrative projects (office workflow, reports) to assure efficiency in Center operation.

  • Support development and management of research grants and subcontracts, including developing scope of works, memorandums of understanding, and supporting management (with grants finance management team) the University-level workflow to ensure the grants and subcontracts are correctly processed and awarded.

  • Demonstrate ability to prioritize daily tasks and assignments, while maintaining high degree of professionalism.

  • Maintains project files; coordinates the receipt and processing of information for project management.

  • Assumes administrative tasks, special projects, ad hoc reports, budgets, billing, research data and other related activities.

Scheduling Coordination and Event Management

  • Manage the Center calendar for meetings, conferences, and travel - including resolving scheduling conflicts, where needed.

  • Make all travel and accommodation arrangements for Center Leadership.

  • Arrange for and manage external visitors to the Center, working collaboratively with Center faculty, staff, students, and partnerships with other organizations.

  • Prepare and distribute materials and agenda for meetings, taking and distributing minutes, and managing communications and follow-ups where needed.

Hiring, Onboarding, and Student Management

  • Manage HR activities for hiring students, staff, and faculty into the Center, including working with HR to ensure all documentation (hiring, termination, payroll, etc.) are completed.

  • Work with the Center and the Department to manage student practicums.

Research-Related Administration

  • Support editing and formatting PowerPoint presentations, publications, and report documents, converts statistical data to charts, tables, and graphs.

  • Use various software applications, such as spreadsheets (Excel), relational databases, statistical packages, and graphics packages to assemble and format data and reports.

  • Assist in manuscript preparation by locating and compiling necessary information and formatting reports, graphs, tables, records and other sources of information per journal instructions to be used in manuscripts. Also assist in editing, inserting references and uploading final copies to various journals for on-line submission for possible publication when needed. Proofread for grammar.

  • Conduct rapid literature reviews on relevant topics.

Finance

  • Manage technical financial administrative tasks related to the Center, such as processing reimbursements, invoices, and honorariums, and booking travel and lodging where appropriate. This will include collaborating with the department-level grants finance management team.

  • Process travel reimbursements for employees, students, and non-employees, and serving as a point of contact for faculty and staff needing assistance with travel management and reimbursements.

  • Support management of vendors by performing various transactions in support of vendor invoice payments, shopping carts/purchase orders, as well as vendor PaymentWorks requests.

  • Assist faculty with grant submission budget development using appropriate cost rates for direct, indirect, and benefit costs, and support preparation of reports as it relates to the budgets.

  • Have excellent organizational and project management skills, with a high-level of attention to detail.

  • Have strong oral, written, and interpersonal skills, with the ability to effectively and appropriately communicate and deal with a wide range of people in a positive and professional manner.

  • High level of fluency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook - including email, calendar, and contacts).

  • Ability to maintain confidentiality, behave flexibly, communicate tactfully, and maintain rapport.

  • Ability to work independently and as part of a collaborative team-based environment, think creatively and strategically, and can problem-solve effectively.

  • Detail-oriented and able to multitask and prioritize effectively in a fast-paced environment.

  • Produce activities/deliverables in accordance with relevant timelines/deadlines.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Five years progressively responsible administrative experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Experience with conducting literature reviews and research-related activities.

Starting Salary Range: $21.00 - $36.50 HRLY ($50,000 targeted; Commensurate with experience)
